Farmer

Purpose: Manages and maintains complete records of farmers who supply milk to the dairy collection center. This module helps track milk type, supplier linkage, and active supply status for operational and accounting purposes.

Fields:

  • Email: Used for communication, notifications, and payment updates.
  • Address (Link to Address): Stores detailed location information such as village, district, and state.
  • Milk Type: Specifies the type of milk supplied (Cow / Buffalo / Cow-Buffalo).
  • Farmer (Linked to Supplier): Connects the farmer record to the corresponding supplier account for billing and ledger management.
  • Active: Indicates whether the farmer is currently supplying milk to the dairy.

Milk Rate

Purpose: Defines buying and selling price of milk based on Milk Type and Fat value.

This rate is used in Milk Collection and Sale Milk to automatically calculate milk pricing.

Example:

If Milk Type is Cow, Fat From 3.5, Fat To 4.0, Rate ₹40, then any Cow milk between 3.5–4.0 fat will be purchased at ₹40/Ltr. 

Milk Collection

Purpose: Records daily milk received from farmers.

Rules:

  • Duplicate entry shows message: “Milk collection already exists for this Farmer, Date and Shift.”

When Milk Collection is created, a Milk Sample Test is automatically generated in Draft status and linked in the document.

Milk Sample Test Process

Quality testing fields:

  • Fat
  • SNF
  • CLR
  • Tested By
  • Tested Date

After testing, sample can be Approved or Rejected.

If Approved → Milk Collection status becomes Tested
If Rejected → Milk Collection remains Draft

When status becomes Tested, user gets Custom Button: “Accept Milk Collection”

After clicking → Status becomes Approved

Create Purchase Invoice

After Milk Collection becomes Approved, user gets: “Create Purchase Invoice”

Used for Farmer Payment.

Important Rules:

  • After submission, no editing allowed.
  • Purchase Invoice cannot be created again.

Status Flow:

Draft → Tested → Approved

Sale Milk

Purpose: Records milk sold to customers.

Based on Milk Type and Fat: Rate is fetched automatically, Total Sale Price is calculated automatically.

Draft status → Custom Button: “Accept Sale Milk”

After approval → User can create Sales Invoice

Rules:

  • No editing after submission
  • Sales Invoice cannot be created again

Milk price is calculated automatically based on Milk Type and Fat value. The system fetches the appropriate rate from Milk Rate configuration and calculates Total Price as Quantity Ă— Rate.
No. A farmer can only have one entry per Date and Shift. The system prevents duplicate records and shows a validation message.
If the Milk Sample Test is approved, the Milk Collection status changes to Tested and can then be Approved. If rejected, the collection remains in Draft status.
Profit is calculated as: Total Sale Amount – Total Purchase Amount. The dashboard also shows collected milk, sold milk, and pending stock.
No. Once Purchase Invoice or Sales Invoice is created and the document is submitted, it cannot be generated again.
